HELB Payment Not Showing? How to Prepare a Payment-Tracing Request

A payment receipt and a HELB loan statement record different stages of a transaction. If you have a receipt but cannot find the payment on your loan account, build a clear record before making another payment. This guide focuses on tracing a discrepancy; our repayment guide covers the broader process.

Identify what does not match

Compare the amount, payment date and reference on your receipt with the entries on your current loan statement. Note whether the whole payment is missing, only part appears, or the statement shows an entry you do not recognise. A displayed balance alone may not explain the difference: inspect the transactions and any separately listed charges.

Keep the records together

Save the original payment confirmation, the invoice or payment request number if one was issued, and a copy of the statement showing the discrepancy. Record when you checked the account. Keep an unedited original for official enquiries; redact identity numbers, phone numbers and other private details from any copy shared publicly.

If the deduction came through your employer

A payslip deduction is evidence that an amount was deducted from your wages; it does not, by itself, explain how that amount was allocated on your HELB account. Ask payroll to confirm the deduction period and provide the relevant remittance reference through a secure channel. Then compare that record with your statement and raise any unresolved mismatch with HELB. Do not assume who is responsible before the records have been reconciled.

Prepare a tracing request

Write a concise request identifying the payment date, amount, transaction reference and the statement entry you expected. Explain whether you paid directly or through payroll. Ask HELB to confirm whether it received the payment, which account it was allocated to, and what further evidence is needed. Supply account identifiers only through a verified official channel.

Example wording: “I made a payment of KSh [amount] on [date], reference [reference]. It does not appear on the statement I checked on [date]. Please confirm receipt and allocation, and let me know which supporting records you require.” This is a suggested message, not a HELB form.

Follow up without paying twice by mistake

Retain the acknowledgement or case number and keep follow-up messages in the same thread where possible. A browser refresh or missing notification is not a reliable reason to repeat a transaction. Ask for clarification before sending a duplicate payment. There is no guaranteed correction time stated in this guide; use the timeframe provided for your case.

Use official channels

Start with HELB’s official website and its loan repayment guidance. Never provide a PIN, password or one-time code to someone offering to trace or erase a loan. This article is a practical record-checking guide, not an account determination or a substitute for your loan terms.
